How to Make People Attend Meetings on Time

Meetings are the lifeblood of a successful business. Members gather to share information, discuss and reach an agreement to achieve a common goal. To be effective, all members must be present and actively participate in the deliberations. So it is very important that all come and start on time. Here are some tips.

Start on time and close the door

1. Always start on time. Do not mind if there are people missing. You are promoting tardiness if you don’t start on time.

2. Keep the door close during the meeting. If possible, make the front of the meeting near the room’s entrance door. Latecomers will get attention and disrupt the meeting. These people will then avoid coming in late next time.

Convenient time

3. Make known the time the meeting will start and end. If the announced time is 2:00 P.M. – 2:15 P.M. then this will encourage people to put more effort to come on time.

4. Schedule the meeting at the most convenient time and place for all.

Important things first

5. Include in your meeting agenda to talk about the importance of attending meetings on time.

6. Put the most important items first in your agenda. Putting them last will only encourage people to come late in the next meetings.

Attractive and comfortable room

7. Ask members for input into the agenda.

8. Conduct the meetings effectively and efficiently as possible. Make no room for personal or petty talks.

9. Make the room attractive and very comfortable.

Serve good refreshments

10. Serve good refreshments during breaks.

11. Talk to latecomers in private. Tell them how important they are in the group discussions. If these people are under you, warn them of the company’s code of conduct and corresponding consequences.

12. Put the names of the absentees and latecomers in the minutes of the meeting.

You have listed excellent points. One place I worked didn't produce agendas. It was impossible to have good meetings there.
